We’re so excited to be bringing Animal Cwtch to your event! Whether it’s a birthday party, school session, or community event, we want you to have an amazing, unforgettable experience. Here’s everything you need to know about what happens next, how to prepare, and how to make the most of your booking.

Enjoy Your Experience!

We want you to get the most out of your animal encounter! Here are some tips to make it extra special:

  • Ask questions! We love answering them, but please wait until we’ve finished speaking so we can give the best information.

  • Take as many photos as you like! While we sometimes use tape to mark off areas, organisers are always welcome to step forward and get amazing close-up shots.

  • Tag us on social media! We love seeing your photos and sharing your experiences.

What Happens After You Book?

  • We will confirm your booking via your preferred method of communication.

  • If you or your venue require any documentation (risk assessments, insurance details, DBS checks), just send us your email, and we’ll be happy to provide it.

 

How to Prepare for Your Event

  • Ensure there is enough space available for us to set up comfortably.

  • Let us know where you’d like us to set up when we arrive.

  • For parties where children under 5 are involved, it’s a good idea to inform parents in advance that hand sanitiser and hand washing are required. We will also remind guests as part of our briefing.

 

What to Expect on the Day

  • We will arrive 10–15 minutes early to set up.

  • We bring all necessary equipment, so you don’t need to worry about a thing.

  • The session will last between 60 and 90 minutes, depending on group size and attention levels. Younger children and larger parties tend to run shorter as they lose focus more quickly.

 

Hygiene & Safety Expectations

  • Hand washing is required. Guests need access to running water and soap. If this is not possible, please let us know in advance so we can bring a portable hand washing station.

  • Hand sanitiser will be provided for additional cleanliness.

  • No eating or drinking when animals are out. Food should be covered or put away for the duration of the session.

  • If you feel unwell, have open wounds, or have recently handled other animals, please inform a member of staff before interacting.

  • Do not attempt to feed animals unless specifically instructed.

  • If an animal moves away from you, do not follow or force interaction.

 

Setup Requirements

  • We are flexible and typically do sessions on the floor.

  • If your event is outdoors, please have an indoor backup plan in case of bad weather.

 

Basic Terms & Conditions

  • Guest Behaviour:

    • Never chase, grab, or restrain an animal. If an animal appears uncomfortable, we will remove it from the session.

    • Visitors must remain seated during the session unless instructed otherwise.

    • Children under three years old must be supervised at all times by a responsible adult.

  • Late Arrivals:

    • We often have back-to-back bookings, so we cannot overrun past the scheduled time. If guests arrive late, we will still finish at the agreed time.

  • Animal Welfare Comes First:

    • If an animal shows signs of stress (e.g., backing away, hissing, rapid breathing, excessive movement), it will be removed from handling immediately.

⚠️ Important: Guest Numbers & Overcrowding

 

We understand that you want to include as many people as possible, but to ensure a safe and enjoyable experience, we must stick to the agreed numbers.

 

📌 If significantly more attendees show up than originally booked for, the session will not go ahead unless:

• The group is adjusted to the agreed size before the session begins.

• We have previously agreed to accommodate a larger group with an adjusted format, extra time, or additional handlers (extra costs apply).

 

🚨 If we arrive and the numbers are significantly over the agreed amount without prior discussion, we will not be able to proceed with the session, and full payment will still be due.

 

📌 Why This Matters:

• Our sessions are carefully planned for hands-on, interactive experiences. Overcrowding reduces engagement and waiting times and affects the quality of the session.

• We cannot adjust the session format on the day—different setups require different planning.

• If you expect more guests than originally planned, please tell us in advance!

 

💡 If your numbers might change, let us know as early as possible. We can offer solutions such as:

✔ Splitting the session into two back-to-back bookings so that everyone gets a fair experience.

✔ Arranging additional handlers to manage a larger group (extra costs apply).

✔ Extending the session time so that all attendees can fully enjoy the experience.

✔ Switching to a display format, which can accommodate higher numbers but requires a completely different setup and incurs additional costs.

 

📌 Final Reminder: If your group is larger than expected and this was not discussed in advance, we will not be able to continue the session.
